Accounts Payable Specialist

About the Role

In this Accounts Payable Specialist role, you will uphold meticulous financial records and verify the precision of accounting information. You will oversee stakeholder communications via the dedicated finance email account, manage accounts payable activities, and process invoices, expense claims, and vendor payments. Your duties will include balancing SimPRO purchase orders and overseeing the accuracy of project costing. You will contribute to month-end and year-end procedures, aid in audit and tax preparation, and draft variance analysis reports for leadership. Furthermore, you will be expected to adhere to the Information Security Management System (ISMS) and manage CIS tax filings in accordance with legal regulations. You will also play a role in optimizing financial workflows to aid the company's expansion.

Requirements

• Possession of or active study toward an AAT qualification, or a degree, diploma, or certificate in Finance, Bookkeeping, or Accounting.
• At least 1 to 2 years of relevant work experience, with preference for candidates who have worked in the construction sector.
• Comprehensive knowledge of financial reporting and bookkeeping standards.
• Advanced competency in Microsoft Office suite, specifically Excel.
• Working knowledge of cloud-based accounting platforms such as Sage, QuickBooks, Xero, or Zoho, with specific preference for expertise in SimPRO and Zoho Books.
• Proficient grasp of management accounting principles and internal financial controls.
• Display a detail-oriented, methodical, and reliable professional persona.
• Strong multitasking, organizational, and communication abilities.
• Demonstrate a proactive, collaborative mindset focused on process improvement and compliance.

Responsibilities

• Oversee core financial operations, ensuring careful upkeep of accounting data and records.
• Handle accounts payable tasks, encompassing the management of vendor payments, reimbursements, and invoice processing while addressing stakeholder inquiries promptly.
• Perform reconciliation of purchase orders against project costs.
• Assist in critical financial periods, including month-end and year-end closing, as well as tax and audit activities.
• Deliver administrative and financial assistance by generating variance reports that provide management with commercial insights.
• Maintain strict adherence to the Information Security Management System (ISMS) protocols.
• Execute CIS return filings in compliance with legislative requirements.
• Identify and implement enhancements to financial systems, reporting structures, and internal processes to facilitate business development.
