Assistant, Customer Success Director

About the Role

We are seeking an Assistant to help the Director of Customer Success optimize operational workflows and oversee team alignment. This position is vital for maintaining departmental efficiency through the management of administrative duties, documentation organization, and internal communication. By offering specialized assistance, you enable the Director to prioritize strategic goals and fundamental business functions. This role is suited for a detail-oriented individual eager to assist in a dynamic setting that provides professional virtual assistance to international startups and corporate organizations. You will collaborate directly with leadership, obtaining a deeper understanding of how departments are managed and the operational procedures that foster organizational growth.

Requirements

• You should have a background as an Administrative Assistant, Virtual Assistant, or in a comparable support position.
• You must demonstrate proficiency in English, both written and spoken, with the ability to interpret instructions, inquire for clarification, and implement feedback.
• You need excellent organizational capabilities, high attention to detail, and a track record of reliable task completion.
• You are expected to be skilled in Google Workspace, including Sheets, Docs, Calendar, and Gmail, and feel comfortable using Discord while staying open to mastering new internal platforms.
• You must handle sensitive employee, business, and client data with complete confidentiality.
• You must be able to adapt your working hours to match the requirements of the Director and the department.

Responsibilities

• You will handle a diverse range of coordination and administrative tasks.
• You will oversee scheduling, organize meetings, manage reminders, and create documentation.
• You will track project assignments and deadlines, keeping the Director updated by communicating with team members as necessary.
• You will facilitate departmental deliverables and requests, ensuring instructions are communicated clearly to the appropriate personnel.
• You will create meeting materials, capture notes, document action items, and compile team reports into standard formats.
• You will maintain departmental records and contact directories, compose standard messages for approval, and alert the Director promptly regarding urgent inquiries or issues.
