Customer Service Coordinator – Order Administration

About the Role

We are looking for a committed Customer Service Coordinator to specialize in order administration. This function acts as a crucial link connecting our commercial, operations, and finance divisions, guaranteeing that client requirements are handled accurately and professionally. You will facilitate effective logistics and high levels of client contentment by managing proactive account tasks alongside inbound requests. Requirements

• Minimum of three years of background in sales support, customer service, call-based B2B administration, or order entry.
• Fluent command of English with a professional, articulate phone demeanor for handling both outbound and inbound communication.
• Ability to input data such as addresses, special instructions, and product codes with high precision.
• Working knowledge of ERP systems, accounting software, or order-management platforms, specifically SAP Business One, NetSuite, Xero, or MYOB.
• Proficiency in Microsoft Teams, Outlook, and Excel.
• Home office infrastructure including a high-quality headset and stable, high-speed internet connectivity.
• Availability to work Monday to Friday according to Australian business hours.
• Prior experience in distribution, wholesale, or multi-SKU industries is advantageous.
• Background in supporting clients located in the US, UK, New Zealand, or Australia is preferred.

Responsibilities

• Handle daily incoming calls concerning account questions, product availability, and order status.
• Initiate outreach to current clients to verify delivery status, address backorders, and resolve late payments while documenting all results.
• Process manual orders received via phone, forms, or email, ensuring all information is carefully validated for precision.
• Update internal systems with comprehensive records of notes, call details, and subsequent actions.
• Serve as a primary point of contact between commercial, operations, and finance departments to ensure accurate information transfer.
• Perform general administrative tasks for the Australian branch, including reporting and document filing.
