Director of Maintenance

About the Role

We are looking for a maintenance leader with a strategic mindset to manage our entire maintenance division. In this position, you will take complete charge of our maintenance operations, managing the process from the moment a request is received until the final invoice is processed. You will guide a remote team, making sure that service quality, communication, and performance benchmarks are upheld throughout our entire portfolio. This position serves as a vital link between onsite operations and high-level strategy, needing a professional who can interpret maintenance metrics to improve efficiency and support expansion. By overseeing external partners and internal staffing, you will provide high-quality, proactive maintenance services. As a part of the leadership group, you will work alongside other departments to support our long-term goals and deliver consistent updates to the COO and CEO.

Requirements

• Extensive, advancing experience in facilities, construction, or maintenance leadership, preferably in multi-site environments.
• Demonstrated success in leading teams, including recruitment, mentorship, staff accountability, and personnel management.
• Solid expertise in project delivery, estimation, emergency procedures, and managing work-order systems.
• Technical proficiency in maintenance and property management software, specifically platforms like PropertyMeld or Buildium.
• Direct experience overseeing labor capacity, financial budgets, and billing processes.
• Exceptional verbal and written communication skills necessary for managing external vendors, peer relationships, and internal staff.
• Capacity to effectively manage a distributed workforce that operates in both field and remote capacities.
• Prior experience in HOA, multifamily, or residential property management is preferred, as is experience with Google Workspace and automated reporting tools.

Responsibilities

• Take charge of the maintenance operating system, including the creation of quality benchmarks, escalation procedures, and service level agreements for both daily and urgent tasks.
• Conduct weekly operational meetings to evaluate financial outcomes, staffing levels, vendor availability, and pending workloads.
• Supervise field employees by establishing development objectives, safety protocols, and productivity standards.
• Manage the departmental budget by strictly overseeing billing precision, material costs, and labor expenses.
• Develop and maintain detailed maintenance manuals to ensure uniform processes for inspections, emergency situations, and standard work.
• Supervise third-party service providers, ensuring they meet insurance and pricing standards while facilitating efficient coordination between internal teams.
• Convert maintenance data into strategic reports for executive leadership to identify operational improvements and risk reduction strategies.
