Requirements
- Possess a bachelor’s degree in Records Management, Engineering, Information Management, Business Administration, or a relevant discipline.
- Have a minimum of three years of work experience in records coordination, project documentation, or document control.
- Demonstrate technical expertise in Microsoft 365, including Teams, Outlook, Excel, Word, and SharePoint.
- Show proficiency in PDF editing tools such as Adobe Acrobat.
- Display a deep knowledge of document lifecycle management, including revision history, version control, metadata, numbering, and naming protocols.
- Exhibit strong time-management, organizational, and writing abilities.
- Maintain the capacity to operate independently and oversee intricate workflows.
- Demonstrate rigorous attention to detail to guarantee the completeness of project records.
- Prior work history in construction, mining, or engineering is considered a plus.
Responsibilities
- Manage routine document control tasks for suppliers, customers, and project documentation.
- Develop and update Vendor Data Document Registers and handle document transmittals.
- Ensure all incoming and outgoing files are traceable and correctly registered.
- Modify and format PDF files to adhere to established guidelines.
- Organize and maintain project directories within SharePoint.
- Confirm that all files have precise revision details and metadata.
- Verify that all documents align with client requirements and project timelines.
- Collaborate with suppliers and internal teams to address any inconsistencies.
- Monitor due dates for pending documentation.
- Compile document packages for internal assessment.
- Support project close-out and handover by verifying final record sets.
