About the Role

We are searching for a Healthcare Operations Coordinator to manage the administrative and functional tasks for two medical practices located in the United States. This position is vital for assisting medical providers with daily operations, enabling them to prioritize patient health and organizational expansion. You will serve as a primary contact, guaranteeing that processes run smoothly and team members receive the necessary support. This is a broad management position necessitating expertise in medical office administration, data reporting, and personnel oversight. You will collaborate with leadership to pinpoint procedural obstacles, execute enhancements, and uphold the quality benchmarks of a medical and aesthetic setting. Requirements

• Minimum of 2 to 3 years of experience in a medical office management or healthcare operations role involving billing and AR/AP tasks.
• At least one year of recent, practical experience using AthenaHealth for reporting and encounter management.
• Proficiency in medical administrative processes combined with strong leadership, organizational, and analytical abilities.
• Exceptional written and verbal English skills and the capacity to operate autonomously in a virtual setting.
• Submission of an NBI or local police clearance during the onboarding phase.
• Possession of a dependable computer, a minimum 25 Mbps high-speed internet connection, a functional webcam, and a noise-canceling headset.
• Prior background in internal medicine, primary care, or longevity-focused clinics is an asset, as is familiarity with credentialing, HEDIS programs, and leading teams of 10 to 15 individuals.

Responsibilities

• Supervise daily administrative tasks and offer operational direction to a group of 10 to 15 employees.
• Manage staff schedules, oversee task completion, and organize workflows to boost practice productivity.
• Examine AthenaHealth reports, check procedure codes, and find missing encounter data for adjustment.
• Oversee financial reports, monitor accounts receivable, and liaise with billing and credentialing departments to address denied claims.
• Handle employee scheduling, track attendance, and prepare payroll.
• Serve as the initial point of contact for employee issues and patient escalations.
• Monitor supplies, interact with suppliers, generate purchase orders, and assist with HEDIS quality initiatives alongside management.
