Operations Coordinator – Automotive Logistics

About the Role

We are searching for an Operations Coordinator to handle automotive supply chain logistics and everyday administrative duties in a fast-paced, global setting. You will act as the primary contact for vehicle procurement, cross-border shipping, and financial bookkeeping. You will coordinate operations across international regions like the UK, Australia, and Indonesia, guaranteeing the seamless execution of the vehicle trading lifecycle from initial acquisition through to final handover. This role provides a cooperative environment where you can help refine operational processes and standard procedures while handling intricate global logistics. Requirements

• Between 3 and 5 years of professional experience within operations, supply chain, logistics, or project coordination, with preference given to those with a background in automotive, import/export, or freight forwarding.
• Advanced proficiency in Google Workspace and Microsoft Office, plus hands-on experience using project management software like Monday.com, Slack, or Asana.
• Strong verbal and written English skills to effectively communicate with international partners through email and telephone.
• Basic understanding of accounting practices and familiarity with cloud-based financial platforms like Xero is a plus.
• A self-starting, proactive mindset with the capacity to manage multiple tasks independently in a remote environment while pinpointing areas for workflow optimization.

Responsibilities

• Manage the full cycle of vehicle import and export logistics, including scheduling pickups, inland transport, and final delivery to customers.
• Act as the main point of contact for freight carriers, customs agents, and shipping partners to ensure all paperwork, such as inspection reports, bills of sale, and export approvals, is precise and filed promptly.
• Execute core administrative functions including invoice tracking, expense reconciliation, and financial record-keeping.
• Assist with vehicle procurement by scouting online platforms, communicating with vendors about vehicle status, and facilitating the acquisition workflow.
• Communicate frequent status reports regarding shipments to stakeholders and manage any questions or concerns.
• Help create and deploy updated operational procedures to increase organizational productivity.
