Paralegal – Australian Family Law Support

About the Role

In this Australian Family Law Paralegal role, you will be responsible for overseeing client files and maintaining precise, up-to-date data within the Smokeball platform. You will draft standard correspondence and legal court filings in adherence to set protocols. Your duties include submitting authorized court documents, saving all related receipts, and keeping comprehensive files. You will also support legal teams by compiling chronologies, briefs, indexes, and documents for mediation to ensure efficiency. Furthermore, you will curate financial disclosure records, detect gaps in documentation, and perform follow-up tasks as instructed. You will maintain calendars, monitor deadlines for court appearances, and serve as a professional point of contact for clients concerning meetings and paperwork while providing consistent administrative assistance to solicitors managing diverse cases.

Requirements

• Minimum of two years of professional experience as a legal assistant, paralegal, or in a comparable support position.
• Practical experience drafting legal documents and correspondence beyond simple formatting or data entry tasks.
• Proficiency in managing files and calendars with a strong ability to adhere to strict deadlines.
• Ability to manage multiple concurrent tasks and identify potential risks in a timely manner.
• High level of attention to detail with a commitment to maintaining confidentiality.
• Strong command of the English language, both written and spoken.
• Proactive, personable, and capable of working independently within defined authority.
• Strong knowledge of Australian family law and relevant legal filings.
• Previous experience with Smokeball or similar practice management systems and the Commonwealth Courts Portal is preferred.
• Demonstrated experience in communicating directly with clients within a legal setting.

Responsibilities

• Maintain and update client files to ensure data accuracy within Smokeball.
• Draft general correspondence and court-related documents utilizing provided templates, instructions, and existing precedents.
• File court documentation with precision and ensure all confirmations and records are properly stored.
• Contribute to the drafting of mediation materials, indexes, chronologies, and briefs.
• Examine and arrange financial disclosure information, determine any missing documentation, and initiate follow-up requests.
• Oversee calendars and appointment scheduling, setting alerts for important legal deadlines and court dates.
• Communicate clearly and professionally with clients regarding their appointments and files.
• Provide comprehensive administrative backing to solicitors handling multiple ongoing matters.
