Project Administrator – Engineering, Tender Support

About the Role

The Project Administrator for Engineering and Tender Support is essential for overseeing technical operations and managing proposals. Your function entails navigating the full administrative lifecycle of projects and tenders, guaranteeing that all records are precise, organized, and meet client specifications. Operating within a distributed team, you will collaborate with estimators, operations staff, and outside partners to optimize processes and keep projects moving forward. You will organize project documentation, track equipment records, and ensure timely submissions. By linking technical experts with administrative functions, you help improve the success of engineering bids. This role offers an opportunity for a detail-driven individual to develop technical expertise while supporting core business functions in an environment that prioritizes collaboration and advancement.

Requirements

• Possess a Bachelor’s degree in Business Administration, Project Management, Engineering Technology, or Mechanical Engineering.
• Minimum of three years of professional experience in technical coordination, tender support, or project administration.
• High proficiency in Microsoft 365 tools, specifically Planner, SharePoint, Teams, Word, and Excel.
• Capacity to analyze contract terms, technical data, and structured tender documentation.
• Strong time management and organizational capabilities to manage multiple simultaneous projects autonomously.
• Excellent verbal and written communication, high attention to detail, and the ability to work cross-functionally.
• Previous exposure to manufacturing, mining, or industrial sectors, or experience with mechanical equipment like pumps, is considered an advantage.

Responsibilities

• Evaluate incoming quotation inquiries and create complete project registers and directories.
• Draft equipment and pricing documents for use by estimators.
• Perform initial administrative assessments of client terms and maintain organized documentation in SharePoint using rigorous version control.
• Assist with the bidding process by formatting materials, verifying quality against requirements, and integrating technical review feedback.
• Generate and oversee tasks within Microsoft Planner, track key milestones, and initiate communication with stakeholders to address risks or data gaps.
• Develop post-award materials, including parts lists, data sheets, and manuals, while helping to refine current documentation procedures.
