Project and Accounting Coordinator

About the Role

We are looking for a precise Project and Accounting Coordinator to offer vital administrative and financial aid for ongoing construction works. You will serve as the primary contact point between project leads, onsite teams, suppliers, and management to guarantee that all project logs and financial data are kept current and precise. This role is fundamental to sustaining organizational productivity and financial transparency from the inception of a project until its completion. Your duties will encompass a wide array of activities, such as overseeing documentation, monitoring purchase orders, managing permits, and executing fundamental accounting processes. This position requires someone who takes initiative and can oversee various competing demands while managing the complexities of construction-related accounting and administrative tasks.

Requirements

• You should have past experience in roles related to administration, project coordination, or accounting, ideally within the construction sector.
• You must hold a solid grasp of accounts payable, accounts receivable, invoicing, purchase orders, and job costing, combined with the capability to process financial entries accurately.
• Expertise in Microsoft Excel, Outlook, and the Microsoft 365 environment is mandatory.
• You need to show outstanding organizational abilities, meticulous attention to detail, and the capacity to manage assignments autonomously.
• Prior experience with construction or project management tools is highly regarded, with a preference for those familiar with Foundation accounting software.
• Furthermore, you must be capable of effective communication with all tiers of the firm, from field staff to upper management.

Responsibilities

• You will deliver full support to project managers by helping with the initialization of new projects, organizing digital project archives, and developing logs to track work orders.
• A large part of your function will involve overseeing financial movements, including inputting supplier invoices, managing accounts payable and receivable, generating client invoices, and balancing vendor accounts.
• You will observe project expenditures by evaluating actual spending versus projected budgets, making sure that all cost data is appropriately categorized and filed.
• Additionally, you will supervise purchase orders and committed expenses, aid in organizing permits and inspections, and sustain consistent dialogue with vendors and field crews.
• You will also contribute to finalizing projects, conducting terminal accounting settlements, and helping to produce diverse financial and cost-analysis summaries for executives.

• Pay is provided in USD via a bi-monthly schedule, occurring on the 15th and 30th of every month.
