About the Role

We are searching for an organized Project Coordinator to manage IT infrastructure initiatives, starting from the point of sale and continuing through the early preparation stages. You will act as the primary liaison between the sales and project management departments, ensuring projects are scoped, resourced, and launched effectively to meet technical requirements. Your contribution is vital to maintaining efficient workflows in high-volume settings, helping to provide reliable, high-standard results for intricate IT setups. Requirements

• You should possess previous experience as a Project Coordinator, Administrator, or in a comparable position within the technology, MSP, or IT services sector.
• You need expertise in managing IT infrastructure rollouts, including workstations, networks, and server installations.
• You must be capable of handling numerous priority projects at once, managing roughly 40 projects monthly while meeting all service level agreements.
• You are required to demonstrate excellent verbal, written, and organizational skills to interact effectively with technical staff and clients.
• It is highly desirable to have experience with ticketing systems, project management software, and hardware procurement workflows; familiarity with tools like ScopeStack or ConnectWise Manage is a distinct plus.
• A bachelor's degree in a relevant discipline is preferred, though equivalent professional experience is an acceptable substitute.
• You must be highly flexible in adjusting to evolving processes and demonstrate the ability to track technical dependencies and schedules.

Responsibilities

• You will manage new IT infrastructure deployments by examining finalized customer scopes and facilitating formal kickoff discussions.
• You will initialize projects within the management platform, structure them into specific tasks and phases, and determine anticipated hours.
• You will act as the lead contact for clients during the coordination phase, resolving any scope inconsistencies and answering project-related inquiries.
• You will assign engineers to specific initiatives based on their skill sets and current availability to ensure project success.
• You will manage hardware acquisitions, tracking items from initial order to final delivery, and reviewing ETAs to set accurate project start dates.
• You will collaborate with internal teams, such as shipping, procurement, and engineering, to address roadblocks and keep projects on schedule.
• You will prepare projects for the transition to the Project Manager about a month before the planned start, ensuring all records are precise, current, and prepared for audit.
