Property Management Specialist

About the Role

In this Property Management Specialist position, you will oversee the full lifecycle of collections procedures and escalations, covering everything from initial contact to legal involvement. You will be expected to analyze tenant ledgers, account histories, and lease agreements to ensure billing precision before making contact. Your work will involve contacting delinquent US tenants through formal notices and professional phone calls. You will be tasked with updating the Aging Masterfile and submitting monthly delinquency summaries to senior staff. You will also serve as the main contact point for internal teams, third-party property managers, vendors, and utility companies to manage maintenance inquiries. Further, you will monitor the completion of Estoppel Certificates and SNDA documents, conduct yearly reconciliations, and determine the handling of security deposits after move-outs. Finally, you will provide support to management regarding monthly loan statement oversight, variance analysis, and budget planning.

Requirements

• Minimum of three years of professional experience within US Commercial Real Estate, Property Accounting, or Property Management.
• Demonstrated success in accounts receivable and collections, with specific experience performing collection calls for the US market.
• Advanced proficiency in property management platforms such as Yardi or AppFolio.
• Strong competency in Excel, including data cleanup, creating trackers, and utilizing functions like VLOOKUPs and PivotTables.
• Ability to communicate with an assertive, professional, and confident demeanor in both written and spoken English.
• Provision of a personal home workspace featuring dependable high-speed internet and an alternative power source.

Responsibilities

• Take ownership of the collections SOP and escalation workflow, including managing follow-ups and starting legal referral processes.
• Verify the accuracy of billing by reviewing tenant accounts, ledgers, and rental contracts prior to initiating contact.
• Execute professional follow-up calls and deliver formal demands or notices to tenants with outstanding balances.
• Keep the Aging Masterfile updated and provide monthly reports on delinquency to management.
• Function as the primary communication link for external property managers, utility services, and vendors, ensuring tenant maintenance issues are resolved.
• Manage the process of obtaining competitive service quotes and approving vendor invoices in a timely manner.
• Track all necessary documentation and execute annual reconciliations regarding Operating Expenses (OPEX) and Common Area Maintenance (CAM).
• Assist the leadership team with variance analysis and the creation of budgets.
