You will contribute to optimizing financial operations and upholding rigorous payment recovery standards. Serving as a Reconciliation and Payments Specialist, you are vital to upholding the financial health of our clients. You will report to the Billing and Collections Manager and oversee full-cycle account management to ensure reconciliations are precise, punctual, and thoroughly recorded. You will operate in a remote, cooperative atmosphere, liaising with finance, billing, and customer success departments to address conflicts. This job provides a platform to improve financial workflows by utilizing modern AI solutions, specifically incorporating tools like Claude to minimize manual workloads.

Requirements

• You need a minimum of two years of work experience in accounts receivable, collections, billing, or reconciliation, preferably within SaaS, eCommerce, or fintech environments.
• You should exhibit a strong sense of accountability and persistence when tracking down unreconciled or unpaid accounts.
• You must be technically adept in Excel, including proficiency in XLOOKUP/VLOOKUP, SUMIFS, and pivot tables, and capable of managing extensive data sets.
• You need to demonstrate comfort working with fragmentary or inconsistent data sourced from various platforms and maintain high precision during investigation.
• You are required to have near-native or native English proficiency to communicate effectively with a diverse range of clients, from SMBs to large enterprises.
• You should possess a keen interest in utilizing AI software such as Claude to minimize manual effort, though prior automation expertise is not mandatory.
• You will have a competitive edge if you possess prior knowledge of PSP data, payment disputes, or chargebacks.

Responsibilities

• You will match client payments with invoices for the entire customer portfolio to ensure each transaction is correctly paired.
• You will research and analyze partial, unmatched, or irregular entries to identify underlying causes and monitor outstanding balances until final settlement.
• You will keep organized and detailed records of your work to ensure that all financial balances remain visible and accurate.
• You will extract and verify information from various platforms, pinpoint inconsistencies, and take initiative to resolve them.
• You will act as the primary liaison for partners in finance, billing, operations, and customer success, utilizing email, Slack, and monday.com to facilitate smooth communication.
• You will lead client discussions when required to clarify billing issues and offer guidance to non-financial team members.
• You will seek out repetitive manual tasks and apply AI-driven solutions to enhance your operational productivity.
