Sales Operations Specialist, HubSpot

About the Role

This position calls for a dedicated Sales Operations Specialist to act as the main administrator and internal authority on HubSpot. You will be instrumental in upholding high data standards and enhancing system performance to fuel company expansion. By working in tandem with the marketing, business development, and operations departments, you will refine workflows, boost system usage, and guarantee the seamless integration of sales and marketing tools. You will function as the link between technical setups and business objectives, helping to elevate sales outcomes and deliver essential data analytics to management. In addition to routine maintenance, this role demands a strategic approach to ongoing enhancement. You will turn intricate business goals into functional technical solutions, oversee lead distribution, and implement automation to drive efficiency. This role is well-suited for a professional with a passion for problem-solving, maintaining documentation, and managing an extensive CRM infrastructure. You will work alongside a supportive team to establish standard operating procedures and scale systems to handle the company's changing requirements.

Requirements

• Minimum of four years of direct experience working as a primary HubSpot administrator, ideally within sales operations, marketing operations, or CRM administration.
• Advanced technical expertise in HubSpot, covering imports, exports, property management, list building, deduplication, and the Sales, Marketing, and Content Hub automation features.
• Proven ability to set up complex routing, lead scoring, and lifecycle stages.
• High level of proficiency in Excel for reporting and managing data sets.
• Strong project management and communication skills, with the ability to convert business requirements into actionable system processes.
• Capacity to develop SOPs, user manuals, and detailed documentation.
• Must have a dedicated workspace with a dependable computer and high-speed internet.
• Must be a resident of the Philippines with legal authorization to work there.
• Holders of official HubSpot certifications or those with experience integrating the platform with other business tools will be given preference.

Responsibilities

• Oversee CRM data accuracy across company, contact, deal, and lead records.
• Maintain and configure automated sequences, sales pipelines, and critical workflows while ensuring efficient lead routing.
• Construct and oversee detailed performance metrics and dashboards to track pipeline health and sales results.
• Identify platform improvements, test configuration changes, and resolve technical problems.
• Provide training and support to internal staff while creating SOPs and clear documentation to encourage consistent usage.
• Refine lead segmentation, scoring models, and campaign monitoring strategies.
• Submit specific work samples, such as case studies or redacted portfolios, to prove your strategic execution capabilities.
