Senior Executive Assistant – Business Operations

By transitioning from manual paperwork and informal messaging to a unified, intuitive software interface, the platform boosts organizational productivity and service quality. It provides an array of features such as task management, location-verified checks, live photo evidence, and detailed analytics to facilitate regulatory adherence and oversight of off-site personnel. We are seeking a skilled Senior Executive Assistant to become part of our Business Operations group. This integral position supports high-level management and oversees a variety of responsibilities spanning the Marketing, Sales, Accounts, and Operations departments. You will collaborate directly with the leadership team to align business functions, keep records organized, and keep operational initiatives moving forward. This is a fully remote role within an Australia-centric team, providing an excellent chance to support a rapidly expanding software enterprise.

Requirements

• You should bring substantial expertise in a role such as Senior Administrator, Executive Assistant, or Coordinator of Business Operations.
• Exceptional command of spoken and written English is mandatory, paired with a proactive mindset and acute attention to detail.
• We require a professional who can operate autonomously and manage responsibilities with minimal oversight.
• Expertise in drafting high-quality reports, presentation slides, and meeting documentation is required, as is the capacity to manage sensitive data with confidentiality.
• Previous familiarity with software like Pipedrive CRM, Connecteam, and Canva is viewed as a major plus.
• You must demonstrate a track record of investigating data, spotting operational deficiencies, and suggesting actionable solutions.
• Background experience assisting clients in regions including Canada, the UK, the US, or Australia is highly desirable.

Responsibilities

• You will handle the organization of intricate meeting calendars, draft meeting agendas, and document action items with precision.
• Your tasks will encompass arranging travel, itineraries, and reservations, while also overseeing critical company records and tracking project tasks.
• You will act as the main liaison for vendors, staff members, consultants, and recruitment partners, maintaining high standards of professional correspondence.
• Beyond general administrative duties, you will participate in human resources activities such as facilitating hiring processes, managing employee onboarding, and updating compliance files.
• You will assist with marketing efforts by organizing content and liaising with third-party partners, while also helping leadership monitor the status of collaborative projects.
• A primary aspect of this role is the proactive detection of administrative bottlenecks and the assurance that all operational targets are achieved on time.
