About the Role

This Travel and Events Operations Coordinator position is a vital role focused on the efficient management and implementation of charter and event activities. You will assist a compact, agile team by handling booking workflows, managing guest interactions, and overseeing the logistics necessary for superior service delivery. Success in this role depends on your ability to handle administrative tasks while providing thorough organizational oversight for diverse operational requirements. Operating in a tourism and charter-oriented environment, you will serve as the primary liaison for agents, private clients, and local staff members. Your performance will influence the success of events and charters by keeping precise records, synchronizing schedules, and ensuring meticulous attention to guest details. This collaborative position allows you to participate in business development and sales planning while upholding the daily operational status of event offerings and the fleet.

Requirements

• You should possess at least three years of professional experience in operations coordination, charter or tourism services, or a comparable support function.
• You must demonstrate exceptional time-management and organizational skills, with the capacity to handle changing priorities.
• Proficiency in digital office tools, such as maintaining internal databases and spreadsheets, is mandatory.
• You need to maintain a high level of precision when handling scheduling, guest data, and financial transactions.
• Strong verbal and written communication skills are essential, as is the ability to operate autonomously and take complete responsibility for your work.
• Experience within the charter or tourism sectors, as well as background in partner management or event operations, is strongly preferred.

Responsibilities

• You will oversee various administrative tasks, such as managing charter reservations, tracking incoming payments, and addressing late invoices.
• You will serve as the main liaison for private charter and agent inquiries, leading guest orientations and relaying vital operational data to onsite staff.
• Your duties involve updating booking logs, vessel schedules, and passenger manifests, alongside managing partner data and pricing schedules.
• You will generate necessary paperwork, assist with integrating new vessels into the fleet, and conduct outreach after charters are completed.
• You will manage internal training manuals and email templates while helping to create new business or sales initiatives as required.
