Accounting Specialist, US Client Support

About the Role

We are seeking a meticulous Accounting Specialist for a permanent remote position providing support to US-based clients. This integral role involves managing full-cycle bookkeeping for a scaling digital agency, ensuring financial data remains precise and compliant. You will collaborate closely with the leadership team and third-party CPA firms to oversee financial accuracy. The position requires taking charge of ongoing financial tasks like reconciliations and billing, as well as refining administrative workflows to enhance operational productivity. Requirements

• Possess a valid CPA license from the Philippines and a minimum of three years of hands-on experience in full-cycle bookkeeping for small businesses in the US.
• Demonstrate mastery of QuickBooks Online, specifically regarding advanced bank rules, multi-currency reconciliation, clearing accounts, and bank feeds.
• Maintain a strong grasp of US-based payroll cycles, tax frameworks, and the differences between 1099 and W-2 worker types.
• Understand international W-8 BEN onboarding procedures and demonstrate expertise in managing high-volume accounts payable, accounts receivable, and structured billing.
• Exhibit exceptional proficiency in spoken and written English to facilitate clear communication with vendors and American leadership.
• Preference is granted to candidates with ProAdvisor certification for QuickBooks Online, prior experience in consultancy or digital marketing, and familiarity with platforms including ADP, Gusto, Nickel, or Wise.

Responsibilities

• Perform weekly reconciliations of all payment gateways, credit cards, and bank accounts within QuickBooks Online to guarantee current financial data.
• Troubleshoot and rectify financial inconsistencies, such as duplicate transactions or unaccounted-for deposits, and draft detailed journal entries for management oversight.
• Execute the full month-end close cycle, submitting comprehensive Balance Sheet and P&L statements by the 10th of every month while ensuring documentation is prepared for external audits.
• Handle accounts receivable by generating invoices via Nickel, monitoring incoming funds, and addressing late payments.
• Manage accounts payable duties, including processing vendor invoices, reconciling receipts, and organizing payment schedules.
• Coordinate payroll by gathering contractor timesheets, auditing submitted hours, and ensuring proper worker classification.
• Author and update comprehensive standard operating procedures for financial tasks and address inquiries from US team members and clients within a 24-hour window.
